This page answers one question: where are the spare parts, and how long does it take to get one?

It is the question owners ask last and regret asking last. Response time is negotiable. Parts availability is structural — and on Chinese-manufactured equipment it is decided by a mechanism most European buyers do not know exists until they need a part.


1. Spare parts access is a gate, not a purchase

On most Chinese battery and power conversion equipment, core spare parts are not sold on the open market. Access runs through the manufacturer’s authorised service partner programme, and the level of access is tied to the level of certification held.

This is not obscure. Several manufacturers publish the mechanism.

Huawei operates a Certified Service Partner programme with three tiers — 3-star, 4-star and 5-star. Certification requires passing online and on-site examinations, holding company and individual electrical qualifications, and meeting cumulative installed-capacity thresholds. The published benefits are explicit about what each tier unlocks: higher certification brings, among other things, the ability to independently commission commercial and industrial battery storage systems. The tier does not just confer status; it confers permission.

Sungrow’s manufacturer warranty terms state that installation, commissioning and removal shall only be carried out by certified personnel authorised by Sungrow or its approved service partners. Warranty claims are submitted through the company’s Global Service Platform by the installer or authorised service partner. The supporting network is published: over 400 authorised service providers, more than 520 service outlets, a three-tier spare parts warehouse structure, and a stated 48-hour response target on spare parts demand.

CATL’s service agent application terms set out the entry requirements for an authorised service agent — including a maintenance business licence, a minimum of two personnel holding high- and low-voltage electrician certificates, and premises meeting visual identity standards. In the company’s own account of its service network, authorised sites are described as using 100% original manufacturer parts under original manufacturer warranty. Authorisation and genuine parts appear together, consistently.

The pattern across these programmes is the same: a signed service partner agreement, staged certification, and service scope and commercial terms that follow the certification level. Our own contracting experience with Chinese manufacturers is consistent with this pattern.

Why this matters to an owner

If your O&M provider is not an authorised partner of the manufacturer that built your equipment, three things follow:

  1. They cannot obtain core spare parts through the manufacturer’s channel at partner terms — or, in some cases, at all.
  2. Depending on the warranty wording, work they perform may affect your warranty position. See Commissioning.
  3. Warranty claims may need to be routed through a party who is authorised, adding a step and a dependency to every claim.

None of that is a reflection on their competence. A first-class Belgian electrical contractor with thirty years of medium-voltage experience still cannot open a channel that the manufacturer controls.

This is worth checking against your supply contract before your O&M scope is fixed, not after.


2. Consignment stock versus purchase

Once access exists, the next question is where the stock sits and who owns it.

The practical answer on most sites is a mix. Power modules, control boards and BMS slave boards are candidates for consignment. Fuses, contactors, filters and seals are candidates for purchased local stock. Whole racks and transformers are ordered when needed.

One point that is often missed: the split between “spare part” and “consumable” is a warranty question, not a logistics question. Manufacturer warranty terms routinely exclude items subject to normal wear — fuses, circuit breakers, coolant, filters, seals and fans are commonly outside coverage. Those exclusions should be read before the O&M budget is set, because they determine which parts you will be buying for the next ten years regardless of what the warranty says elsewhere.


3. What ADR does to the timeline

Battery modules in transport are dangerous goods, and the classification changes the entire logistics picture depending on the condition of the module.

A new replacement module ships under UN 3480 (lithium-ion batteries) or UN 3481 (contained in or packed with equipment), as ADR Class 9 under packing instruction P903. This is routine dangerous goods freight: a competent carrier with Class 9 authorisation handles it.

A removed module that is damaged or defective falls under ADR special provision SP 376, and the picture changes sharply:

The consequence for planning is this: the reverse leg is harder than the forward leg, and it is the leg most service contracts fail to specify. A replacement module can be on site tomorrow. The module that came out may sit for weeks if nobody has arranged where it goes and under which packing instruction.

Illustrative scenario

A C&I site running Chinese cabinets loses one power module. The fault is correctly diagnosed at first line and a replacement is drawn from consignment stock held in Antwerp; the swap is completed the following morning and the site returns to full output.

The removed module is assessed on site against SP 376 criteria. It shows no signs of thermal event, swelling or electrolyte loss, and is classified as stable defective — P908. It is packed accordingly, documented with serial number and fault description, and shipped to the manufacturer’s designated European reception point under the RMA process.

Total site downtime: one working day. Had the assessment gone the other way — a module showing signs of thermal stress, requiring P911 packaging — the removal itself would have been the longer half of the job.

How we work

We hold manufacturer service partner status where it is available, because that is what determines whether we can obtain core parts at all. We hold spare parts near the assets we serve, in Belgium, rather than promising to fly them in. And we specify the reverse leg in the contract rather than discovering it at the first module failure.

Frequently asked questions

How long does a spare part take to arrive? For items held locally, same day to next working day. For items ordered through the manufacturer channel, it depends on which warehouse tier holds them and whether your service provider has partner access. The honest answer for any specific site requires reading your supply contract first.

Which parts are not covered by my warranty? Manufacturer warranty terms commonly exclude items subject to normal wear — fuses, breakers, coolant, filters, seals, fans. The list varies by manufacturer and should be read from your own contract rather than assumed. We will read it with you.

Who pays for shipping on a warranty replacement? This is set by the warranty terms and varies. Some manufacturers cover the forward leg only, some cover both, and some cover neither for parts assessed as out of scope. It is worth establishing before the first claim rather than during it.

Where does the module that comes out go? Under ADR SP 376 it is either a stable defective item, a critical item, or waste — and each has a different packaging, documentation and destination path. It remains your property throughout. See Repair & RMA.

Can we hold our own stock instead? Yes, and for fast-moving items it is often the cheaper answer. Consignment makes more sense for high-value slow movers, where the cost of holding is real but the cost of a two-week wait is much larger.
